The 90/60/30 Method for managing projects

The 90/60/30 Method for managing projects

When we started developing Grant Holster, we did so with our own grant-management processes in mind.
Therefore, we thought it might be helpful to share that method with you.

The 90/60/30 Method is a timeline of tasks to complete 90, 60, and 30 days ahead of a grant application's deadline.

NOTE: This is assuming there is no LOI

90 Days Out:
Status Preliminary (as in, we are in the preliminary stages of checking guidelines, etc.)
Actions you might want to add approximately 90 days ahead of the grant application's deadline:
  1. Check Guidelines and Deadlines to make sure you have all the correct information about the opportunity.
  2. Send the information to your client for review

60 Days Out:
Status Go/No-Go   (Get an answer from the client as to whether or not they want to pursue the opportunity.)
Actions you might want to add approximately 60 days ahead of the grant application's deadline:
  1. Get Go/No-Go answer from client
StatusWorking
(Once you know the client wants to pursue the opportunity, select an "active" status such as Working or Planned and begin writing)

30 Days Out:
Status Working or Pending
This is the time in which you are actively writing the grant, getting the final pieces together and ready for submission.
Once submitted, change the status to Pending. (For a project with an LOI, change the project status to "LOI Pending.")

Pro Tip!
Add an Action to remind you to check for a response 90 days out (or whenever the expected response date is)

Process for Projects (grants) that require an LOI

Follow the same method as above but add an Action to "Submit LOI."

After you've submitted the LOI
      For the Action ("Submit LOI"):
Status :  Pending (Don't mark as Completed for LOIs)

      For the Project (grant):
            Status :  LOI Pending

Was the LOI accepted or Declined?
      LOI Accepted:
Update the status of the Action to "Accepted."
Update the status of the Project to "Working."
And now you are back to step one of this help article :)

      LOI Declined:
Update the status of the Action to "Declined."
Update the status of the Project to "Deferred."

Pro Tip!
Add a note saying that the LOI was declined so you'll remember why you deferred this project when it comes around again next year.
